Conditions governing access

Scholastic census records dated 75 years ago and earlier are unrestricted and may be requested by the public (Texas Government Code, Section 552.0215, right of access to certain information after 75 years).

Scholastic census records dated less than 75 years ago are restricted and must be redacted for gender, race, and disability information for the student and any student family members (siblings) listed in the record unless proof of death of any of those individuals is provided. (Texas Government Code, 552.101 and Family Educational Rights and Privacy Act (FERPA))

Because scholastic census records dated less than 75 years ago still hold the possibility that portions of these records fall under Public Information Act exceptions including, but not limited to, student records (Texas Government Code, Sections 552.026 and 552.114, in conformity with the Family Educational Rights and Privacy Act of 1974), an archivist must review these records before they can be accessed for research or before accessed under an Open Records Request requested for research under the provisions of the Public Information Act (Texas Government Code, Chapter 552).

Physical access

These records are stored offsite and require a minimum of 7 business days for retrieval. An appointment to view the records will only be made once the records have arrived in Cushing. If the requested records are subject to archival review, another minimum of 5 business days will be required before an appointment will be scheduled.

Custodial history

These records were deposited at Texas A&M University during the 1970s by the Texas State Library and Archives Commission (TSLAC) in a voluntary agreement by Texas A&M University making the institution a Regional Historical Resource Depository (RHRD).

Immediate source of acquisition

Local Texas government agencies transferred the original records into the custody of TSLAC which then housed the records in a regional deposit assigned to specific counties. TSLAC retains title to these records.
